The shared lead pool
The lead pool is the shared store of the agency's leads. New leads can route automatically to the agency and land in the shared pool, from where agents can claim them to work on.
The lead pool is in the Lead Pool section of the agency menu.
The Owner and the Manager see all agency leads. A regular Agent sees their own leads plus the ones sitting in the shared pool.
Automatic routing of incoming leads
Incoming leads can route automatically to the agency. How they are distributed among agents is decided by the routing rules. For example, leads can be spread evenly among agents, or all of them can land in the shared pool to be claimed later.
The routing rules are set up by the Owner or the Manager in the Routing Rules section.
Claiming leads from the pool
An agent can take a lead from the shared pool to work on - this is called claiming a lead. After that the lead is assigned to the agent, who starts handling the communication and the deal.
Open the lead pool
In the agency menu go to the Lead Pool section.
Choose a lead
Look through the available leads in the pool and choose the one you want to take.
Claim the lead
Click the claim button. The lead is assigned to you and appears in your leads.
Assigning, transferring and returning
Besides claiming leads, you can manage leads manually. Who can do what:
| Action | Who can do it |
|---|---|
| Claim a lead from the pool | Agent (and higher roles) |
| Assign a lead to a specific agent | Owner, Manager |
| Transfer a lead to another agent | Owner, Manager |
| Return a lead to the pool | Owner, Manager |
- Assigning - the Owner or Manager attaches a lead to a specific agent.
- Transferring - a lead moves from one agent to another.
- Returning to the pool - a lead becomes available to everyone again if an agent could not work on it.
If a lead stays untouched for a long time, the Owner or Manager can return it to the pool so that another agent can take it on.
